The Professional Development Assistant will provide support to the Professional Development team and will assist with our attorney training, CLE, attorney review processes, mentor program, onboarding and orientation, bar admission, event planning, and other personnel-related tasks.
Essential duties and responsibilities include the following. Other duties may be assigned.
Attorney Training: Assist with the planning and coordination of attorney training programs. Use the firm's Learning Management System (LMS) to create programs, invite attorneys and other attendees, monitor attendance and collect program materials. Assist with and coordinate all program logistics, including preparing materials, creating attendance sheets, reserving conference rooms and coordinating catering. Assist with registration for external training programs and administrative tasks related to attorney retreats.
CLE Compliance: Maintain the firm's CLE records, including entering attorney CLE credits and preparation of internal records of all program materials for CLE Board report. Work with IT department to upload videos and other training materials to LMS.
Onboarding and Orientation: Assist with lateral, first-year attorney and summer associate onboarding, including coordination and tracking receipt of paperwork, assistance with background and conflict check processes, preparation of welcome materials, and drafting first-year associate bios. Assist with administrative tasks and data entry related to fall and summer orientation, monitor attendance, and coordinate with program presenters and other business staff.
Attorney Review Process: Assist with annual attorney review process by preparing and updating materials and assisting with preparation for attorney review meetings. Support contemporaneous feedback process in a similar capacity.
Mentor Program: Monitor and compile statistics on a periodic basis to ensure ongoing attorney participation, assist with monthly updates to the program.
Event Planning: Assist with various aspects of Professional Development-hosted attorney events including tracking RSVPs, helping with day-of logistics, tracking payments to vendors and venues, and tracking vendor contracts.
Personnel: Manage attorney personnel files, maintain attorney placement chart, assist with attorney departure process by tracking receipt of departure paperwork and updating attorney exit interview database.
The successful candidate must be team-oriented, self-motivated and have the ability to work independently, as well as possess the following characteristics:
Bachelor’s degree and a strong academic record
Preferably at least one year of applicable professional experience
Strong organizational skills and attention to detail
Strong interpersonal, written and oral communication skills with a service-oriented attitude
Ability to exercise discretion, good judgment, flexibility and to deal discreetly with confidential information
Ability to collaborate and communicate effectively with team members, internal clients, and vendors
Ability to work well under pressure and prioritize responsibilities assigned by multiple team members
Flexibility to work overtime when needed
Proficiency with Microsoft Outlook, Word, Excel and PowerPoint
